  • Job Description

    ■ PURPOSE OF POSITION
    • The objective of this role is to provide consistent and confidential administrative support to the Chiefs Office secretarial function, ensuring effective coordination, documentation control, and adherence to governance requirements.
    • By enabling efficient executive operations and disciplined workflows, the role supports company objectives of leadership effectiveness, operational efficiency, and sound organizational governance.

    ■ RESPONSIBILITIES
    Executive Operations Oversight (Calendar / Meetings / Travel)
    • Own and oversee Chiefs’ calendars and priority scheduling
    • Review and optimize meeting cadence; anticipate conflicts and resolve independently;
    • Coordinate executive travel/logistics (flights/hotels/transport) within approved policie
    • Ensure all updates are reflected in Outlook/SharePoint and relevant stakeholders are aligned.

    Review & Approval / Quality Assurance (Admin Transactions)
    • Review and approve routine submissions within delegated authority (Chiefs & Secondees’ claims, invoices, memberships, vendor documents); enforce documentation discipline and accuracy; monitor turnaround time and follow up to closure;
    • Handle general office admin tasks such as preparing LOU, sending couriers, and managing acknowledgement sheets.
    • Manage corporate hotel bookings and maintain relationships with hotel vendors.
    • Update and maintain records of hotel vendor registration, credit applications, and renewal follow-ups.

    Documentation & Process Control
    • Lead and govern preparation, control, and archiving executive-level documents (official correspondence, approvals, LOUs, confidential records)
    • Ensure compliance with internal controls, governance requirements and review submissions for completeness/accuracy before circulation; monitor timeline and escalate risks with judgement.
    • Review and approve routine submissions within delegated authority (claims, invoices, memberships, vendor documents)

Qualifications

  • Requirement

    ■ MUST REQUIREMENTS
    • Minimum 3–5 years of working experience in administrative or secretarial support
    • Familiar with MS Office tools (Excel, Outlook, Word)

    ■ ADVANTAGES
    • Candidate with Personal Assistant experience has advantage
    • Familiarity with automotive business operations is an added advantage
    • Japanese language capability is advantageous for coordination with HQ and stakeholders.

    ■ OTHER REQUIREMENTS
    • Strong coordination and administrative skills
    • Good communication and follow-up skills, both internal and external
    • Able to multitask and manage priorities under tight deadlines
    • Attention to detail (e.g. for documents, claims, scheduling)
