    【Job Purpose】
    - To act as a versatile executive assistant (with commercial background) to the immediate superior, ensuring seamless communication and coordination across Japanese, Mandarin, and English-speaking counterparts. This role involves, organizing meetings, preparing materials, handling confidential matters, and coordinating travel arrangements.
    - In addition, this person will be part of the commercial team to assist in sales planning related matters, by working closely with the respective stakeholders. Flexibility in handling ad-hoc tasks and administrative duties is essential, while maintaining a high level of professionalism and discretion.

    【Job Responsibilities】
    • Act as a primary point of contact between the immediate superior’s and other counterparts.
    • Accompany immediate superior on international/domestic travels, act as main translator in physical business meeting or for business documentations
    • Organize and coordinate meetings, conferences, and events, both on-site and off-site.
    • Prepare agendas, documents, and materials for meetings; take and distribute meeting minutes.
    • Manage and organize sensitive and confidential information, always ensuring discretion and confidentiality.
    • To be involved sales planning related matters, by working closely with the respective stakeholders.
    • To partner with relevant stakeholders in organizing company events, employee engagement activities, CSR activities.
    • Arrange meeting lunch
    • Handle private & confidential matters, general correspondence, arrange appointments,
    • Perform general administrative tasks, including document preparation, filing, and record-keeping.
    • Handle ad-hoc projects and tasks as assigned by immediate superior.

Qualifications

  • Requirement

    - Possess at least Diploma or Degree in language, business, or any other relevant.
    - 3 years of Personal Assistant/Executive secretary experience in a corporate, working with Senior Management and/or FMCG environment, especially in the commercial team.
    - Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
    - Well versed in Google and MS Office
    - Japanese communication skills on a business communication level are required to liaise with Japanese-speaking counterparts.
