How to Renew SSM Online in Malaysia (2026 Step-by-Step Guide)

Renewing your SSM (Suruhanjaya Syarikat Malaysia) registration is a mandatory process for all business owners operating a sole proprietorship or partnership in Malaysia. This process, also known as SSM renewal online, ensures that your business remains legally active, compliant, and recognized under Malaysian law.

In 2026, the Companies Commission of Malaysia (SSM) continues to support digital transformation. Effective May 24, 2026, SSM launched a single sign-on upgrade migrating all direct access entirely to the integrated SSM4U Portal. This allows entrepreneurs to complete their business registration renewal online seamlessly without ever visiting an SSM branch counter.

If your SSM registration expires, your business may be considered inactive, and you could face severe compliance penalties or be forced to undergo a full re-registration depending on how long the license has been overdue.

SSM Renewal Eligibility (Important Requirement)

Before proceeding with your SSM business license renewal, ensure you meet the following mandatory conditions:

  • Entity Type: Applicable strictly for sole proprietorship and partnership businesses.

  • Renewal Period Allowed: 1 to 5 years per renewal transaction.

  • Grace Period: The business must NOT be expired for more than 12 months.

  • Expired Over 12 Months: Automatic termination occurs. Renewal is impossible, and a brand-new business registration is required.

According to official SSM guidelines, expired businesses beyond the 12-month allowed period cannot be recovered.

Documents Required for SSM Renewal Online

To complete your SSM renewal via the updated gateway, prepare:

  • MyKad (IC) information of the business owner or active partners.

  • Active SSM4U account login credentials (migrated from your legacy EzBiz profile).

  • Updated business information (current address, nature of business).

  • Branch details (if applicable).

Step-by-Step Guide: How to Renew SSM Online in Malaysia (2026)

Step 1: Log in via the Mandatory SSM4U Gateway

Navigate to the newly integrated official portal at www.ssm4u.com.my. Effective May 24, 2026, all direct logins to the legacy EzBiz portal have been entirely deactivated. Enter your registered SSM4U credentials and security verification to access the single sign-on dashboard.

  • Note for Existing Users: For registered EzBiz Online Portal users (Malaysian/Permanent Resident), please click "forgot password" or check your user registration status here

Step 2: Select “Renew Business Registration”

Once inside the unified SSM4U dashboard, look at the available digital services. Click on the EzBiz icon / link to launch the business registration portal. From the main top navigation menu, click "My Business Services" and select "Renewal by Owner" from the drop-down list. Locate the active or recently expired business you intend to renew and click the action icon.

Step 3: Review Your Business Information Before Renewal
Before proceeding with your SSM renewal, carefully review your registered business information to ensure it is accurate and up to date.

Important SSM Compliance Requirement
If any of the following business details have changed, you must first submit a Registration of Changes of Business Particulars application through the SSM EzBiz portal before renewing your business registration:

  • Principal business address

  • Type or nature of business activities

  • Branch information (addition, amendment, or closure of branches)

  • Business ownership information (e.g., addition or withdrawal of partners, change of ownership, or death of a partner)

Under Section 5B of the Registration of Businesses Act 1956 (ROBA 1956), business owners are required to notify SSM of any changes to registered business particulars within 30 days of the change occurring.

How to Update Business Particulars

Changes can be submitted online via the EzBiz portal. Depending on the type of amendment, supporting documents may be required, such as:

  • Agency approval or confirmation letters for regulated business activities

  • Certified copy of a partner's or owner's death certificate (where applicable)

  • Other supporting documents as requested by SSM

Note: Only active businesses are eligible to register changes of business particulars.

Registration Fees for Changes of Business Particulars

The current fees prescribed by SSM are:

  • RM20 – Registration of Changes of Business Particulars

  • RM5 per branch per year – Additional fee for branch-related changes

  • RM10 – Business Information document

Penalty for Failure to Update Business Information

Business owners who continue operating without reporting changes to their business particulars may be committing an offence under the Registration of Businesses Act 1956. Upon conviction, penalties may include:

  • A fine of up to RM10,000;

  • Imprisonment for up to one year; or

  • Both a fine and imprisonment.

Step 4: Choose Renewal Duration

Once all business particulars are up to date, select your preferred renewal duration.

Business owners may renew their SSM registration for a period of one (1) to five (5) years, subject to eligibility requirements.

Pro Tip: Many business owners choose a longer renewal period to reduce administrative work and minimize the risk of unintentionally allowing their business registration to expire.

Step 5: Make Payment Online

Scroll down, tick the declaration box, and click "Proceed to Payment." The system supports instant electronic payments via:

  • FPX Online Banking (Direct debit from major Malaysian banks)

  • Credit Card / Debit Card (Visa or Mastercard)

Step 6: Receive SSM Certificate

Renewal is usually processed instantly upon successful payment, subject to system confirmation. Do not rely solely on the email notification.

Log back into the EzBiz Portal, head to "My Business Services" > "Renewal Status / History," and scroll down to download your new Digital Certificate (Form E) and Business Profile.

Important Deadline:

You have exactly 90 days from the date of approval to download and save these PDF files for free. If the 90-day window expires, the download link vanishes, and you will have to purchase a replacement copy through the SSM e-Info or MYDATA-SSM networks.

SSM Renewal Fees in Malaysia

Based on current SSM-related service structures:

  • Personal Name (e.g., Ali bin Abu): RM30 per year

  • Trade Name (e.g., Ali Enterprise): RM60 per year

  • Branch Fee: RM5 per year for each branch

Example:
If someone wants to renew a Trade Name business for 5 years, the cost is simply RM60 \times 5 = RM300.

Common Mistakes to Avoid During SSM Renewal

Avoid these errors to ensure smooth approval:

  • Allowing the SSM certificate to remain expired beyond the strict 12-month limit.

  • Failing to update changes to business activities or corporate addresses before hitting renew.

  • Trying to use deactivated direct EzBiz portal links instead of the centralized SSM4U platform.

  • Forgetting to download and save your Form E PDF within the free 90-day system window.

Conclusion

The SSM online renewal process in Malaysia (2026) is fast, digital, and streamlined thanks to the mandatory SSM4U single sign-on gateway. As long as you process your application within the allowed legal timeframes, you can keep your company active, legitimate, and fully compliant without any real-world business interruption.
