  • Job Description

    Work closely with Senior Accounting Executive in Penang branch and report to Finance Manager in KL HQ
    <AP>
    • Compile vendor invoices properly authorized with PR, PO/ agreement before posted into accounting system.
    • Compile vendor invoices and expenses billings are recorded with proper GST tax coding on timely and accurate basis.
    • On time compilation and processing payments for commitment/ utilities bill for TM, Maxis, Telco, TNB & etc.
    • Monitor bank balances (cash book) and payment clearing status on timely and accurate basis.
    • Liaison with bank officer for banking related matters if required.
    • Liaison with vendors for any invoice discrepancies, reconciliation and vendor’s inquiries.
    • Handle office petty cash, petty cash reimbursements and ensure petty cash claim with proper documentation.

    <Account Closing>
    • Prepare bank reconciliation statements, update related areas supporting schedules required for closing of monthly/yearly accounts.
    • Prepare and maintain journals for related area.
    • Closing of monthly/yearly accounts and prepare management report.

    <Purchasing>
    • Coordinate with respective departments and suppliers in the purchasing duties.
    • Perform product sourcing.
    • Process purchase orders, permit application and other documents.
    • Monitor and coordinate RMA claim deliveries of items between suppliers to ensure on time delivery.
    • Update purchasing records in Quickbook Accounting Software.

    <Storekeeper>
    • Receive, store, maintain and issue equipments units.
    • Unload goods, inspect and check against order forms.
    • Perform regular physical stock count.
    • Plan and manage stock level of products and update the stock records.

    <Branch administration support>
    • Attending incoming calls and walk in guests in polite and courteous manner.
    • Ensure office general area, eg: guest area, conference hall, meeting room in clean and neat condition. Deco the guest area during festive seasons.
    • Control and monitor cleaner’s duty – to ensure office cleanliness. Arrange pet control.
    • Perform 2nd layer of verification for staff claim and prepare a summary report.
    • Register office’s fix assets / equipment’s and arrange routine maintenance or repair.
    • Take charge for office pantry at all floors - ensure sufficient food & beverage.
    • Take charge for office’s key control/ company assets, company car.
    • Check invoices (general office administration suppliers) and arrange payment.

    • Assist in any other ad-hoc enquiries/assignment/report requested from Top Management/ HOD/ staff.
    • Participate in annual audit and taxation process.
    • Liaison with auditors, tax agents, lawyers, Company Secretary and statutory authorities.

    - Experience : Minimum of 2 years relevant working experience
