Job Description
<Job Summary>
We are looking for a dedicated Sales Admin Specialist to join our Sales Operation Team to achieve our goals. This role is a key position within newly created team responsible for overall admin for e-Partner Management System and assistance in delivery of process innovation with continuous improvement initiatives across multi-jurisdiction between & among Sales, Marketing & Supply Chain Management, among coordination and supportive functions.
Our ideal candidate is goal-oriented, capable to collaborate and creative synergy to establish work plan, so teamwork is essential. Exceptional organization skills with good command in communications will be an added advantage.
Ultimately, possess a strategic and analytical mind, attainment the smooth operation for the department and as well as long-term growth for the company.
<Key Accountabilities>
• Administrator for E-Partner Management System, with key role & responsibility on maintenance & managing:
o Product Master Data Mapping
o Channel Category Mapping
o User Profile and Access
• Work with key stakeholders in preparing and release all types of general correspondences or communication letter to Channel Partners:
o Daily on Letter of Authorization for Project or Tender Participation
o Month End Closing Letter, Half Year Stock Take Announcement and Billing Operations details
o Adhoc Office closure due to off-site meeting, company events, etc
o Tactical Products Promotion or Program with Participation Form Letter
• Ensure Distributor and Asia Pacific Sales Performance reports and tabulation of related rebate claims are timely informed and accurately prepared.
o Bi-Monthly for Normal Month and 3 Times for Quarter End Month on Sales Performance updates
o Rebate tabulation by quarter basis
• Consolidate Asia Pacific Sales & Inventory to generate Dealer PSI Data for Touch Down Monthly Reports.
• Undertakes to generate reports and update relevant files from data extract from the Monthly Distributor Sell Out report for analysis and business planning purposes.
• Identify and work on process improvement activity across the business operations through employing workflow improvement methodologies and the application of innovative thinking.
• Support the delivery of quality and efficiency through identification and elimination of unnecessary complexity within the business processes to enhance productivity and effectiveness.
• Work with team members to devise new support based on current automation and workflow improvement platform to further develop system enhancements.
• Assist and Support:
o Price List and Quotation preparation for Channel Partner
o Related functions and administrative task for SCM Department
o Compiling data and supporting documents for audit and compliance activities
o Compilation of Partner Programs/ Promotion Claims for approval and payment
o Documents Management thru manual filing & e-filing with scan copy for Sales Operations & SCM
• To participate in adhoc task, projects or assignments and data or report preparation as requested by the Department Manager, Head of Marketing Division, and members from the management team.
Qualifications
Requirement
- Education Background: Diploma / Degree in any field, preferable in Business Administration or IT related.
- Experience: Over 3 years proven work experience in administrative function or similar role.
- Skill:
> Proficiency in MS Office (Word, Excel and PowerPoint)
> Candidate with good data analysis skill and excel skill (Vlookup, Pivot Table, Macro) has high advantage

Total Salary = RM 3,100 ~ RM 4,200
- EPF, SOCSO normal contribution rate.
- Annual leave: Min 14 days, depend on the Job Grade
