Job Description
Facilities Management
• Ensuring smooth day-to-day functioning of shopping mall, facilitating good environment for retailers’
business activity and pleasant shopping environment for shoppers.
• Conduct tenant orientation meetings, which covering ground rules and policy, communication
systems, emergency procedures, security procedures, and other relevant procedures.
• Manage tenants shop operational compliance i.e. shop appearance, merchandize, trading hours,
waste removal, signage, etc. through regular audits and surprise visits. Rectify any non-compliance
through official warning or lease contractual penalties as required.
• To handle all correspondence and administration of license application, ensure compliance and
approval from relevant authorities.
• Establishes liaison with local Government bodies and all important Municipal Emergency Services i.e.
PDRM, Bomba, Paramedic Services, and etc.
• Safekeeping of all Mall related documentation and records i.e. insurance policies, licenses, permits,
certification / letter of approval from Government / authority departments.
• Supporting the Senior Manager in periodically reviewing the performance of contractors to ensure
all standards are being met, reporting of any shortcomings and proposing further improvement
measures.
• Mall Service
• Maintain good communication and business relations with tenants, handling tenants’ complaints and
queries professionally and act in the best interest of Company.
• Develop and upkeep the corporate mall identity by ensuring the adherences of corporate brand
guidelines and Company policy.
• Maintain close relationships with Mall Operation teams as well as consultants to ensure that all
tenants requests, issues, or cases are attended appropriately and in a timely manner.
• To constantly look out the latest retail market trend, concept, brands, products, services, as well as
shopping mall industry development.
• Building Maintenance
• To implement and develop flexible system focusing on monitoring of consultants / contractors /
vendors’ service contract as well as delivery of task.
• To undertake feasibility studies and make recommendations and execution of new development
assignment within the Mall.
• Prepare plans and schedules for regular and periodic maintenance in conjunction with relevant
Department Heads and follow up on quality and execution.
• Maintain and monitor procedures and records relating to the factory outlet shopping mall’s structure,
mechanical and electrical maintenance.
• Monitor the ‘Planned Preventative Maintenance’ schedule.
• Assist in the preparation and maintenance of the service charge budget and expenditure.
• Ensure that overall structure and machinery is being effectively and efficiently maintained by third party
contractors in accordance with the maintenance schedules and that all records are accurately
maintained.
• Safety & Health
• Ensure all Health, Safety and Environmental statutory obligations and industry best practice procedures
and systems are adhered to.
• Assist Senior Manager in the emergency planning and business continuity plan, reviewing and updating
as necessary to ensure optimum effectiveness.
• Ensure that all accident and incident reporting, including insurance and statutory forms and procedures
are correctly completed and adhered to.
• Ensure that all visitors, contractors and occupiers adhere to site health, safety and environmental
procedures and are compliant with appropriate regulations.
• Carpark Management, Housekeeping and Landscape Architecture
• To manage and ensure the efficient delivery of building operation management including facility
management, maintenance, security, safety, car parking management, housekeeping, pest control,
waste management, landscaping, engineering services and etc.
• Develop and manage the operation expenses and budget planning.
• To participate inspection on tenant’s fit-out and ensure the fit-out works comply to the Mall’s
requirements.
• To manage the operations of the Mall’s car parking system.
• To review and anticipate traffic flow, take necessary action to prevent traffic congestion and
minimize shopper inconvenience.
• To ensure the income integrity for the entire carpark collections.
• To maintain and improve the cleaning services and standard of hygiene set by the Management.
• To audit on the collection and management of waste disposal.
• Coordinate with landscape architect in the selection and purchasing of plants, fertilizers and disease
control.
• To coordinate on plant arrangements and decorations according to festive seasons or Mall events.
• To work with tenants on the reserved bays and season passes allocation.
• To coordinate and liaise with DBKL officers during monthly health inspection in the Mall.
• Oversee and monitor the execution of landscape works in the rooftop garden.
Qualifications
Requirement
QUALIFICATIONS AND EDUCATION REQUIREMENTS
Candidate must possess at least Diploma, Post Graduate Diploma or Bachelor's Degree in
Business Studies / Administration, Project Management, Commerce or equivalent.
• At least 3 years’ experience in Mall operations and management position.
Proven track record handling Mall operations and facilities management, preferably in a reputed
large shopping mall or real estate company.
PREFERRED SKILLS
Strong business acumen and good technical knowledge of Commercial Facilities.
• Strong Mall operations and management skill.
• Strong analytical skill with excellent communication, negotiation, and interpersonal skill.
• Possess leadership quality with ability to motivate and sustain high level of teamwork among
team members.
• Self motivated with high sense of initiative and responsibility.
• Able to be trusted with confidential and sensitive Company information.
• Good command of English and Bahasa Malaysia, both oral and written.
• Computer literate.English Level

The working hours for Shift Employees will be as follows:
a) Category A -
9.00am to 6.00pm
Break 12.00pm to 1.00pm
b) Category B -
2.00pm to 11.00pm
