  • Job Description

    1) Oversee the day to day Operations in both KL and branches offices.

    2) Manage a team of payroll staff.

    3) Responsible for ensuring that commitment to clients are followed up in a timely manner, that the clients are satisfied and to continually engage with clients.

    4) Provide excellent customer service ensuring clients receive prompt responses to requests and queries.

    5) Develop an in-depth knowledge of existing and potential clients, their industry and key contacts.

    6) Perform high-level review and provide value-add to the work to be submitted to clients.


    7) Review fee and propose fee increase where appropriate.

    8) Meet prospective clients, including follow-through with the Business Development team until the job is accepted or rejected.

    9) Oversee BBS daily operations and ensure all communications with clients are supported by e-mails, outlining agreed action steps, responsibilities and deadlines.

    10) Perform variance analysis on the financial performances / payroll movements of the clients.

    11) Participate in the preparation of budgets and monthly forecasts and comparison with previous budget/forecasts.

    12) Oversee credit control and prompt collection of debts for respective portfolio of clients. Work with Finance to follow up on outstanding and doubtful debts.

    13) Ensure prompt Billing and be responsible for WIP. Perform finalization of WIP cost and be prepared to be answerable for write-offs.

    14) Liaise with the bankers on banking facilities and related matters.

    15) Formulate and review payroll processes / policies throughout the department. Identify and recommend improvements to current policies & procedures, processes and client servicing arrangements in line with current business and regulatory practices.

    16) Recommend and assist in the implementation of new or revised systems, procedures and records.

    17) Assist with strategic planning and development of business unit’s performance. Develop and implement quality management strategies and plans (including resource, systems, timescales and financials) for the department’s annual business plans.


    18) Provide and organize formal training for the department’s staff.

    19) Invest time into training staff to enable them to carry out their roles effectively and efficiently.


    20) Proactive in staff recruitment, mentoring, development and career path planning.

    21) Provide staff with regular feedback and evaluation.

    22) Add value at Managers’ meetings and assist in following up on assigned actionable items in a timely manner.

    23) Work with IT on new IT initiatives for innovation and to improve productivity. Oversee projects, e.g. development of software, programs etc.

    24) Undertake a new initiative with HR, IT, Business Development, Training or projects involving work improvements.

    25) Be a team player and provide leave cover for fellow team members.

    26) Attend a minimum of 20 hours training a year in both technical and soft skills.

Qualifications

  • Requirement

    - Language : English & Mandarin
    - Education Background :Degree/Professional qualifications in business, human resource, accounting or other related fields.
    - Experience : Minimum 8- 10 years relevant and related payroll working experience. (preferred outsourcing/shared service environment).
    - Require Skill : • Excellent client servicing skills and strong problem solving skills.
    • Strong written and verbal communication skills.
    • Extensive and in-depth knowledge of Employment Act 1955 and its amendments, SOCSO, EPF, EIS and relevant income tax rules, procedures and guidelines.
    • Strong spreadsheet skills (Excel essential) and good knowledge of Word, and Payroll Software.
    • Excellent organizational skills.
